Seller Terms

Last updated: 9 October 2026

01Who these terms are for

These terms apply to roasters selling lots where Roastnet holds samples (currently in the United Kingdom), and to origin sellers such as exporters, farmers, producers and cooperatives. In both cases Roastnet buys the coffee from you and sells it to the buyer as seller of record. Importers sell under the Importer Terms instead.

Your seller type is chosen when you join and cannot be changed afterwards. You must be a business with the right to sell and, for origin lots, to export the coffee.

02Samples

You send sample stock to Roastnet HQ at your own cost, as described in the Sample Policy. Your listing stays pending until Roastnet has checked in your samples and approved it. Samples must be genuinely representative of the lot. Roastnet sends samples to buyers free of charge and tells you when your sample stock runs out.

03Listing and approval

You are responsible for the accuracy of your listing: origin, process, grade, crop year, weight, availability and your price. Roastnet may decline or pause a listing and decides whether to approve it.

04Roastnet's margin

You set your price. Roastnet sets its own margin on top, which it may change at any time. The buyer sees only Roastnet's price. Roastnet pays you your price, and keeps its margin, from which it pays sample postage.

05Anonymity

Buyers are not told who you are and you are not told who the buyer is. Deliveries are blind consignments: remove your own branding from bags and paperwork before collection, and do not include anything that identifies you. You must not try to identify or contact the buyer, or trade with them outside Roastnet for coffee first offered to them through Roastnet.

06When an order is placed

Roastnet sends you an order once the buyer has paid. You must have the coffee ready for collection, correctly packed and labelled as instructed, at the agreed time. Collection is arranged by Roastnet; for UK roaster lots the coffee goes straight from you to the buyer.

07Sold on sample: your warranty

You warrant that the coffee you supply corresponds with the sample you sent to Roastnet and with your listing, is yours to sell free of any third-party rights, and complies with the law, including food safety, labelling and, for origin lots, export rules.

08Payment to you

For UK roaster lots, Roastnet pays you after the buyer's 48-hour claim window has closed with no open claim. If a claim is open, payment is held until it is resolved.

For origin lots, payment terms are agreed with you in the contract for each shipment before the coffee is shipped.

Roastnet issues self-billing or receives your invoice as agreed. [PLACEHOLDER: solicitor and accountant to confirm self-billing and VAT treatment]

09Claims and returns

If a buyer's claim is upheld because the coffee did not match the sample or your listing, or was short or wrong, the coffee is returned at your cost, Roastnet refunds the buyer in full, and Roastnet does not pay you for that coffee. If you have already been paid, you must repay Roastnet. For origin lots where an independent inspection was bought, quality is final at shipment as inspected.

10Risk and title

Title passes to Roastnet when it pays you. Risk passes when the coffee is collected from you or, for origin lots, as set out in the shipment contract.

11Liability and indemnity

You are responsible for, and will indemnify Roastnet against, losses arising from coffee that breaches your warranty, including the cost of refunds, returns and claims from buyers. [PLACEHOLDER: solicitor to confirm indemnity scope and any cap]

12Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except where mandatory local law provides otherwise. [PLACEHOLDER: solicitor to confirm governing law and jurisdiction]
