Sample Policy
Last updated: 9 October 2026
01Two kinds of sample
How samples work depends on the listing.
- Importer lots: you request a sample in Roastnet and the importer sends it to you directly, on its own terms.
- Roaster lots where Roastnet holds samples, and origin lots: Roastnet holds sample stock at Roastnet HQ and sends samples to buyers free of charge.
02For buyers
Request samples from the listing. Where Roastnet holds stock, your request is reserved and sent from Roastnet HQ. If none is in stock, your request waits and is sent automatically when the seller restocks. Roastnet-held samples are sent without identifying the seller. Samples are for evaluation only and must not be resold.
03For sellers sending sample stock
- Send sample stock to Roastnet HQ at your own cost, with the lot reference shown in your listing.
- State for each line whether it is green or roasted, its weight and the number of packs. A minimum total weight applies, shown when you add samples.
- Samples must come from the lot offered and be genuinely representative of it.
- Your listing stays pending, shown as waiting for your samples, until Roastnet has checked them in and approved the listing.
- Roastnet keeps a reference sample of each lot to settle any claim under the Terms of Sale.
- When your sample stock runs out, you and Roastnet are notified so that you can restock.
04Ownership of samples
Sample stock sent to Roastnet HQ becomes Roastnet's to send to buyers and keep as reference. It is not returned and is not paid for.
05Where this applies
Roastnet-held samples for roaster lots run only where offered, currently in the United Kingdom. Elsewhere roaster samples are arranged directly between the two businesses.
